By requesting a quotation, making a booking, or allowing our operatives to begin work, you agree to be bound by these terms. Please read them carefully before confirming any appointment. For the purposes of these terms, references to we, us, or our mean Gospel Oak Carpet Cleaners, and references to you or the customer mean the person, business, landlord, agent, or representative placing the order.

The purpose of these terms is to create a clear and fair agreement covering the booking process, payments, cancellations, liability, waste handling, and the law that applies to our services. These conditions are intended for use in the United Kingdom and should be read together with any written quotation, booking confirmation, inspection notes, or service-specific instructions agreed at the time of order. If any part of these terms is found to be unenforceable, the remaining provisions will continue to apply in full.

The version in force at the time your booking is accepted will apply to that booking unless otherwise agreed in writing. Nothing in these terms affects your statutory rights as a consumer under applicable UK law.

1. Booking Process

All bookings with Gospel Oak Carpet Cleaning Services are subject to availability and acceptance by us. A quotation, estimate, or price indication does not itself create a confirmed appointment. A booking becomes binding only when we have accepted the request and issued a confirmation, whether verbally, by message, by email, or through our booking system. We may ask for additional information before confirming a visit, including the type of fibres, approximate room sizes, access details, parking arrangements, soiling conditions, and any special risks.

It is your responsibility to provide accurate and complete information at the time of booking. Any significant change to the work requested may affect the price, the equipment required, the time needed, or the suitability of the method used. If the information supplied is incomplete, inaccurate, or misleading, we may amend the quotation, reschedule the appointment, or decline to proceed where doing so is necessary for safety, quality, or legal compliance. This is especially important where delicate materials, stain treatments, or heavily worn areas are involved.

If you are booking on behalf of a landlord, tenant, managing agent, business, or third party, you warrant that you are authorised to do so and that all necessary permissions have been obtained. We are entitled to rely on the instructions provided by the person placing the booking unless we are notified otherwise in writing before the appointment.

2. Service Scope and Access

The precise scope of work will be based on the agreed booking, the condition of the items or surfaces, and any limitations identified on inspection. Our carpet cleaning service may include pre-vacuuming, spot treatment, stain reduction where feasible, hot water extraction, low-moisture cleaning, or another suitable method. Upholstery and rug cleaning may involve fibre testing, agitation, and controlled drying methods. We will use reasonable skill and care, but results can vary depending on age, wear, dye stability, previous cleaning history, and the nature of stains or contamination.

You must ensure safe, timely, and unobstructed access to the premises and the areas to be cleaned. This includes arranging parking where required, clearing fragile items, protecting valuables, and advising us of any hazards such as defective flooring, loose fittings, electrical issues, broken glass, infestations, or restricted water supply. If access is delayed or impossible, we may charge waiting time, a wasted visit fee, or a cancellation charge where appropriate.

We may refuse to clean an item or area if we reasonably believe that doing so would cause damage, pose a health and safety risk, or breach any legal obligation. Where we identify a problem during the visit, we may pause or adapt the service and notify you of any extra cost or alternative method. Gospel Oak Carpet Cleaners reserves the right to decline services that are unsuitable for wet cleaning, contain hazardous contamination, or cannot be treated safely with professional equipment.

3. Prices and Payment Terms

Unless otherwise stated, prices are quoted in pounds sterling and may be based on room count, floor area, item type, stain treatment, level of soiling, minimum call-out, or a time-based charge. Any estimate is given in good faith on the information available at the time. If the actual work differs materially from the original description, we may adjust the price to reflect the extra labour, materials, or time reasonably required to complete the service.

Payment terms will be confirmed at booking or upon completion of the work. In many cases, payment is due on completion by cash, card, bank transfer, or another method accepted by us. For commercial or account customers, invoices may be issued with separate payment dates. Unless expressly agreed otherwise in writing, invoices must be paid in full by the due date shown on the invoice. If payment is not made on time, we reserve the right to charge interest and recover reasonable debt collection or administrative costs to the extent permitted by law.

Discounts, promotions, or special offers are valid only for the period stated and may be withdrawn at any time before acceptance. They cannot usually be combined unless we agree otherwise. Where a deposit is requested, it is used to reserve the appointment and may be applied against the final balance. Deposits are refundable only in accordance with the cancellation provisions below or where required by law.

4. Cancellations, Rescheduling, and Missed Appointments

You may cancel or reschedule a booking by notifying us as early as possible. For consumer bookings, if you cancel after the booking has been accepted but before work has started, we may apply a reasonable charge where we have already incurred costs or lost the opportunity to fill the appointment. If you cancel with less than 24 hours’ notice, or fail to provide access at the agreed time, a cancellation fee or wasted visit charge may apply. Any deposit paid may be retained wholly or partly to cover these losses, subject to applicable consumer law.

If we need to cancel or rearrange due to illness, equipment failure, severe weather, staff unavailability, safety concerns, or any other event outside our reasonable control, we will notify you as soon as reasonably practicable and offer an alternative date. We will not be liable for indirect loss caused by a delay or cancellation where the cause is beyond our reasonable control, although we will use reasonable efforts to minimise inconvenience. In the event of repeated rescheduling, both parties will act in good faith to find a suitable replacement appointment.

If you ask us to attend but the property is not ready, key access is unavailable, electricity or water is absent where required, or the items are not present for cleaning, we may treat the appointment as a wasted visit. In that case, a charge may be payable to cover the reserved time and travel. This provision is designed to protect the efficient operation of Gospel Oak Carpet Cleaning appointments and to prevent avoidable losses where the work cannot begin.

5. Liability and Customer Responsibilities

We will carry out services with reasonable skill and care. However, you acknowledge that carpet and fabric cleaning can involve some inherent risk, especially where items are old, badly worn, untreated, unstable, or previously damaged. Certain stains may be permanent or may worsen when exposed to moisture, heat, agitation, or cleaning products. We do not guarantee complete removal of stains, odours, or contamination, nor do we guarantee restoration to a like-new condition. Any guarantee we provide in writing will apply only to the specific conditions stated.

Our liability for loss or damage arising from our negligence is limited to the reasonable cost of repair or replacement, taking account of age, condition, wear, and depreciation. We will not be responsible for pre-existing damage, structural defects, hidden faults, or damage caused by unsuitable materials, incorrect care instructions, or failures by the customer to disclose relevant information. Nothing in these terms limits or excludes liability for death or personal injury caused by negligence, fraud, or any other liability that cannot lawfully be excluded under UK law.

You are responsible for removing small valuables, fragile items, loose ornaments, and other personal property from the working area before we arrive. We may move lightweight furniture where reasonably necessary to complete the job, but we are not obliged to move heavy, fixed, or unsafe items unless agreed in advance. Where we do move items, we will do so with reasonable care, but we accept no liability for damage caused by hidden weakness, poor assembly, or instability unless caused by our negligence. Any claims for loss or damage should be raised promptly and, where possible, before the property is moved or further altered.

6. Waste Regulations, Chemicals, and Environmental Handling

We operate in accordance with applicable UK waste, environmental, and health and safety requirements. During carpet cleaning and related services, waste may include extracted dirty water, removed debris, used towels, contaminated spotting materials, and packaging from cleaning products. We will dispose of such waste responsibly and in line with relevant regulations. We may retain a small amount of waste water or residue temporarily for lawful disposal, but we will not leave hazardous waste on the premises unless agreed and permitted.

You must tell us in advance if the property contains biological contamination, needle waste, asbestos, mould requiring specialist removal, chemical residues, or other regulated waste. We do not accept responsibility for removal of hazardous or clinical waste unless this has been specifically agreed in writing and we are legally permitted to carry it out. If we discover hazardous waste during the appointment, we may stop work immediately and require specialist intervention. Any additional charges arising from contamination, specialist disposal, or restricted cleaning conditions will be discussed where reasonably practicable before they are incurred.

We may use professional cleaning agents, pre-sprays, stain removers, and deodorising products selected for the task. You should inform us of allergies, sensitivities, pets, or special environmental concerns before the appointment. Although we aim to use products appropriately and sparingly, some odour may remain temporarily after treatment. It is your responsibility to ventilate the area and follow any aftercare instructions provided. Gospel Oak Carpet Cleaners does not advise disposing of chemical waste through domestic drains unless it is lawful and safe to do so in the circumstances and consistent with the product instructions.

7. Complaints, Aftercare, and Dispute Resolution

If you are dissatisfied with the service, you must notify us within a reasonable time after completion so that we can investigate. Where appropriate, we may ask for photographs, a description of the concern, and an opportunity to inspect the area. Please keep the cleaned item or surface in its post-clean condition and follow any aftercare instructions, as some issues only become apparent after drying. Failure to allow us a fair opportunity to inspect may affect our ability to assess the complaint properly.

We aim to resolve complaints fairly and proportionately. Depending on the circumstances, a resolution may include a re-clean, a partial refund, or another appropriate remedy. Any remedy offered will be made without admission of liability unless expressly stated. We are not responsible for claims arising from normal re-soiling, post-clean traffic marks, or issues caused by non-compliance with aftercare advice, accidental spills, or subsequent third-party work.

Nothing in these terms affects your legal rights as a consumer. If a dispute cannot be resolved directly, the parties may consider mediation or another form of alternative dispute resolution where appropriate. However, we are not obliged to agree to any process except where required by law or by a court order.

8. Governing Law

The courts of England and Wales shall have non-exclusive jurisdiction, meaning either party may bring proceedings in those courts where appropriate.

If you are a consumer and live in Scotland or Northern Ireland, you may also have rights to bring claims in your local courts under applicable law. Nothing in this clause is intended to remove or reduce any rights that cannot legally be excluded. Should a conflict arise between these terms and any mandatory statutory provision, the statutory provision will prevail to the extent of that conflict.

9. General Provisions

We may assign or subcontract parts of the service where reasonably necessary, provided the overall standard of work is maintained. You may not assign your rights or obligations without our written consent. If we fail to enforce any provision of these terms on one occasion, that does not waive our right to enforce it later. Headings are included for convenience only and do not affect interpretation.

If any part of these terms is held invalid, illegal, or unenforceable, the remainder shall continue in effect. These terms, together with the accepted quotation and booking confirmation, form the entire agreement between you and us in relation to the services, superseding previous discussions or representations on the same subject. No person who is not a party to this agreement shall have any right under the Contracts (Rights of Third Parties) Act 1999 to enforce any term unless expressly stated otherwise.
